TradeShowAI (referenced as "we", "us", or "our") operates the TradeShowAI platform, including our mobile application and web dashboard. We are committed to protecting the privacy of our clients (exhibitors) and the prospects whose information they collect.
1. Information We Collect
We collect personal information that you provide to us directly, as well as information about third-party prospects when you scan business cards or record voice notes.
A. Account and Profile Data
When you sign up or manage your team, we collect your:
- Full name and corporate email address
- Account password (fully encrypted and salted)
- Company name and team settings
- Biometric preference (stored locally on your device only)
B. Prospect and Lead Capture Data
While using the platform at trade shows and events, you may collect:
- Contact Information: Names, job titles, company names, emails, phone numbers, and website URLs.
- Scanned Images: Photos of business cards (front and back) captured via camera.
- Audio Recordings: Voice notes and dictations detailing prospect needs.
- BANT Qualification Metrics: Budget, authority, timeline, and client classification details.
2. How We Process Your Data (AI Processing)
To provide our automated data extraction features, we process prospect card images and voice notes using advanced artificial intelligence services:
- Business Card OCR: Scanned cards are processed either locally on your device (using on-device OCR) or securely transmitted to our secure cloud AI vision interface to extract structured contact details.
- Voice Note Transcription: Audio files are transmitted to our secure transcription service (Whisper API) to generate text summaries and enrich prospect records.
Data Protection Guarantee: We do not sell prospect data, nor do we use scanned images or voice notes to train third-party AI models. Your lead intelligence remains entirely your property.
3. Data Storage, Syncing, and Security
We employ industry-standard administrative, physical, and electronic security measures to safeguard your information:
- Mobile Offline Queue: While offline, prospect records are stored in encrypted form in the app's secure sandbox.
- Secure Network Transmission: All communications between the mobile application, web dashboard, and API backend are encrypted using Transport Layer Security (TLS/HTTPS).
- Cloud Infrastructure: Your data is hosted on secure databases with strict access controls, read-only isolation, and automated regular backups.
4. Sharing of Information
We only share personal or prospect data in the following restricted scenarios:
- Authorized Team Members: Salespeople and managers within your own organization (based on your team configurations).
- Infrastructure Subprocessors: Cloud hosting, database backups, and AI transcription/extraction APIs (solely to provide the service).
- Legal Requirements: If required to comply with a valid court order or applicable national laws.
5. Your Rights and Data Deletion
Depending on your jurisdiction (such as GDPR in Europe or CCPA in California), you have rights regarding your personal data:
- The right to access, export, or correct your personal data.
- The right to request the complete deletion of your account and all associated prospect records.
To request team deletion, personal data deletion, or access to your logs, please email your request to privacy@tradeshowai.cloud. We will process all valid deletion requests within 30 business days.
